Credentialing for home health and therapy staffing
Stop running credentialing out of a spreadsheet.
Every caregiver’s licenses, CPR cards, TB tests and background checks in one place. Documents file themselves when all three readings agree, or wait for your team’s sign-off if you’d rather. When something’s due, the reminder is already written, and one click sends it.
Set up to your own checklist in about two weeks.

Credentialing shouldn’t live in a spreadsheet.
Licenses, CPR cards, TB tests and background checks for every caregiver, each with its own expiration date. They arrive by email and text, and somebody has to keep all of it straight.

Everything a caregiver’s file needs, in one place.
Set up to your agency’s own list, with your item names and your renewal rules. For the first agency we set up, that’s 44 items per caregiver.

- State sex offender registry
- National sex offender search By hand
Registry searches, run and on record.
OIG and SAM.gov exclusions, state license status and the state sex offender registry are checked on their own. Your team does three by hand, and CredCarry tracks those too and tells you when each one is due:
- National sex offender search By hand
- Driver’s license check By hand
- Level 2 screening, state Clearinghouse By hand
Every result shows which list was checked and when. A possible match only flags the file for a person. It never marks anyone excluded.
Built for agencies anywhere in the US. The federal exclusion searches cover every state from day one, and your state’s license and registry checks are set up when you join.
From the first warning to the filed card.
Four steps, without anyone chasing it by hand.
1 / 4Spot it
Every date, worked out for you.
How long each item lasts, whether it runs from the exam date or the day you received it, which items depend on each other, and which licenses renew on the state’s calendar. Set once, applied to every caregiver.
A PPD counts for two years while the yearly TB form is current, and drops to one when it lapses.
2 / 4Ask
The reminder is already written, in your words.
When something is missing or expiring, CredCarry drafts the email to that caregiver, listing exactly what’s needed and written to match the emails you already send. Up to three rounds, a week apart. Nothing leaves until someone on your team approves it.
3 / 4Read
Every document read three times. All three must agree.
Caregivers reply with a photo or a PDF. Three AI readers read it separately, and it’s filed only when all three agree on what it is, the date and the caregiver’s name. If they don’t agree, it’s read again, up to three rounds. If they still don’t agree, it goes to a person, with the reason. You choose how it works: in automatic mode it files itself when all three agree, and one in every ten still goes to a person to double-check, as does everything a caregiver adds through their own link. In review mode, nothing is filed until someone on your team approves it. We can switch it any time you ask. A license is filed only when the state’s own license records match too. Level 2 screenings go to a person, because only your team can sign in to the state’s Clearinghouse.
4 / 4Record
Ready when someone asks.
Every filing, search, reminder and approval is stamped with who did it and when. When a facility or an auditor asks, export the file, or send an agency exactly the documents it asks for and nothing else.
Three things CredCarry never does.
It never gives caregivers a login.
They reply to a normal email, or open their own private link and add a photo. Links expire after 30 days. Nothing to install, no password to forget.
It never sends without a person.
Every reminder, and every document going to an outside agency, waits for someone at your agency to approve it.
It never decides who works.
It shows what’s current, what’s expiring and what’s missing. A possible registry match is only a flag. Who gets placed is always your call.
Running in two weeks.
Built around how you already work. Nobody on your team has to learn a new way of doing things.
-
Week one
We learn your checklist.
One call: your items, your renewal rules, which documents arrive together and what your agencies ask for. Send us a few reminder emails you’ve sent before.
-
Week two
We set it up in your words.
Your checklist, reminders written to match your emails, sent from your email address. A few real caregivers loaded, so your first look is your own file.
-
After that
Your team works from one screen.
What’s expiring, what’s missing, what’s waiting on someone. New caregivers join as their documents come in. No big import.
Built to be trusted with the file.
Plain facts about where your caregivers’ records live and who can see them.
Kept in the US.
Stored in US data centers on the West Coast and backed up daily.
Never at a public address.
Documents live inside the database, never at a public web address, and open only for signed-in staff at your agency.
Encrypted.
Everything travels over HTTPS and is encrypted at rest.
Walled off.
Every request is checked against the signed-in person’s own agency. No agency can see another’s files.
One login per person.
Administrator and staff roles. Only administrators can send email or documents out, and there’s no public sign-up.
Everything recorded.
Every filing, change and send goes in an activity log, with who did it and when.
Not used for training.
The AI services that read documents work under business terms that keep what they read out of model training.
Told within 10 days.
If we ever learn data was reached without permission, we tell your agency within 10 days.
HIPAA, in plain words
HIPAA protects patients’ health information. CredCarry holds caregivers’ credentialing records: licenses, certifications, screenings and training, kept by their employer. Those are records about workers, not patient information, and agencies don’t upload patient records. Medical items about a caregiver, like a physical or TB results, are visible only to your agency’s own signed-in staff.
Our plain-words reading, not legal advice.
Questions agencies ask.
Our checklist is different from everyone else’s.
That’s expected. CredCarry is set up to your list, your item names and your renewal rules, including the odd ones, like documents that come back together as one packet.
Do our caregivers need to download anything?
No. They reply to an email with their documents, or open their own private link and add a photo from their phone. There’s nothing to install and no password to remember.
Where does AI come in, and who checks it?
It reads the documents. Three AI readers read each one separately, and it’s filed only when all three agree on what it is, the date and the caregiver’s name. If they don’t agree, it’s read again, up to three rounds. If they still don’t agree, it goes to someone on your team, with the reason. AI never sends anything.
Will anything go out without us seeing it?
Never. Every reminder is drafted and held until someone on your team approves it. The same goes for documents sent to an outside agency.
Will the reminders sound like us?
Yes. When you start, you send us a few reminder emails you’ve sent before, and CredCarry’s reminders are written to match how you already write.
Which states do you cover?
Agencies anywhere in the US. The federal exclusion searches, OIG and SAM.gov, cover every state from day one. Your state’s license and registry checks are set up as part of your onboarding.
Do we have to move everyone over at once?
No. New caregivers start in CredCarry, and existing ones join the next time one of their documents comes up for renewal.
How long does setup take?
Usually under two weeks from our first call to your team using it with real caregivers.
